This Privacy Policy describes how Training Solutions (“we”, “us”, “CLC Education”) processes personal information when you use our website and online tutoring platform. This document is designed to support compliance with South Africa’s Protection of Personal Information Act (POPIA). It is not legal advice; please have it reviewed by qualified counsel before relying on it in production.

1. Who we are

Training Solutions operates the CLC Education service. For POPIA-related requests, contact our Information Officer at support@clceducation.com. The Information Officer must be registered with the South African Information Regulator as required by POPIA — confirm registration status internally and update this page when complete.

2. Personal information we may collect

Depending on how you use the service, we may process:

  • Account data: name, email address, and authentication identifiers from our identity provider (Clerk).
  • Student profiles: profile name, optional grade and subjects, optional date of birth, and optional profile PIN (stored in a non-reversible form where applicable).
  • Booking and session data: scheduled times, subjects, session status, notes where provided, and technical identifiers for online lessons (e.g. video session references).
  • Subscription and billing metadata: plan, credit usage, subscription status, and references from our payment processor (Paystack). We do not store full payment card numbers or CVV on our systems — see our Terms of Service.
  • Tutor-related data: professional profile, availability, payout-related references, and session completion data.
  • Communications: emails and operational logs needed to run the service and comply with law.

3. How we use information

We use personal information to:

  • Provide, operate, and improve tutoring bookings, subscriptions, and video sessions;
  • Authenticate users and protect account security;
  • Process payments and credits through Paystack;
  • Send service-related emails (e.g. bookings, reminders, cancellations);
  • Meet legal obligations and respond to lawful requests.

4. Children and student profiles

Student profiles are created and managed under a parent or guardian account. The adult account holder is responsible for the accuracy of information relating to minors.

5. Subprocessors and international transfers

We rely on carefully selected service providers, including for example:

  • Clerk — authentication;
  • Convex — application data storage and backend;
  • Paystack — payments and subscriptions;
  • Stream (GetStream) — video sessions;
  • Email providers — transactional email.

These providers may process data in jurisdictions outside South Africa. We use their services in line with their terms and applicable law. Details can be updated as our stack evolves.

6. Retention and security

We retain information for as long as needed to provide the service, meet legal obligations, and resolve disputes. We implement appropriate technical and organisational measures to protect personal information; no method of transmission over the Internet is completely secure.

7. Your rights (POPIA)

Subject to POPIA, you may have rights to access, correct, delete, or restrict certain processing of your personal information, and to object to processing in defined circumstances. Contact us at support@clceducation.com. You may also lodge a complaint with the Information Regulator (South Africa).

9. Changes

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Material changes may require additional notice under applicable law.
